A card machine came first and a till grew around it. Software is often free or low-cost with a hardware purchase. Strongest where taking a card is the main job.

Ten questions to ask any vendor

Including us. If a vendor cannot answer these in writing, that is itself an answer.

1. What does it cost, in writing, per branch per month?Ask for the figure including VAT, and ask what happens to it in year two. A quote you cannot compare is not a quote.
2. Is there a setup, capture or migration fee?This is where the real cost often sits. Ask separately from the monthly price.
3. How long is the contract, and what does cancelling cost?A low monthly with a three-year term is not cheaper than a higher monthly with none.
4. Can I trial it on my own products before deciding?A demo shows you their software working perfectly. A trial shows you yours.
5. How long from signing to selling?Ask for a date, not an adjective. Then ask what has to happen in between, and who does it.
6. Who captures my products, and what does that cost?Loading a catalogue is the largest hidden cost in most switches.
7. What happens if the internet drops?Ask specifically whether the till keeps selling and what happens to those sales afterwards.
8. Does it handle what I actually make?If you produce anything — bake, cook, portion, assemble — ask about recipes, bills of materials and waste. Most systems stop at the till.
9. How do I get support at seven on a Friday?Ask what happens outside office hours, and whether anyone comes on site.
10. If I leave, what happens to my data?Ask whether you can export products, customers and trading history, and in what format.

What are the main kinds of POS system in South Africa?
Broadly five. Payment-provider systems, where a card machine came first and a till grew out of it. Installed on-premise systems, loaded onto machines in your shop and quoted per site. Why do so few vendors publish their prices?
Usually because the price depends on a scope: how many tills, which modules, whether hardware is included, and how much setup labour is involved. That is a legitimate model. It does mean you cannot compare cost without asking, so get every quote in writing and compare the same period and the same number of branches.
Should I choose cloud or an installed system?
It depends on your connectivity and how you want to be supported. Installed systems keep working without a line and usually come with an onsite support contract. Cloud systems need connectivity but update themselves, are reachable from anywhere and generally start faster. Some, including ours, run a till app on the device that keeps selling through an outage and syncs afterwards.
What should I be careful of when comparing quotes?
Compare the same things. Setup or capture fees, hardware cost or rental, monthly software per branch, support terms, contract length and what happens to your data if you leave. A low monthly figure with a large setup fee and a three-year term is not cheaper than a higher monthly figure with neither.
How can I test a system properly before committing?
Ask for a free trial on your own products rather than a demo on someone else’s. Load your real menu or stock file, ring up real transactions, and run it beside what you have now for a week or two. A demo shows you the software working perfectly; a trial shows you it working for you.
